Short answer first: EngageBay is the better fit for a small team that wants CRM, email marketing, automation and a help desk in one predictable subscription. HubSpot is the better fit for a business that expects to scale quickly, relies on a wide range of integrations, and can afford a much larger bill once advanced marketing automation enters the picture.
Both are capable products. They are simply built for different stages of a company, and the published prices make that very clear.
How we prepared this comparison: it is based on each vendor’s public pricing and product pages, read on , plus HubSpot’s product and services catalog. We did not run a hands-on test of either tool for this article, and it contains no user testimonials. Prices are the US dollar list prices shown on that date. They change often, so check the official pages before you commit.
EngageBay vs HubSpot: the key differences
- How you pay. EngageBay sells one all-in-one suite, priced per user, in four public tiers. HubSpot sells a platform made of separate Hubs (Marketing, Sales, Service, Content, Data and Revenue), each with Starter, Professional and Enterprise editions that stack.
- Where the price jumps. EngageBay lists marketing automation from its Growth plan. HubSpot reserves omni-channel marketing automation for Marketing Hub Professional, which sits at a very different price point and carries a mandatory onboarding fee.
- The free plans. EngageBay’s is open to 15 users but capped at 250 contacts. HubSpot’s is capped at 2 users but allows up to 1,000 contacts.
- The ecosystem. HubSpot advertises more than 2,000 apps in its marketplace; EngageBay advertises more than 250 integrations.
- The growth path. HubSpot is designed to take a company from startup to enterprise. EngageBay says plainly that it is built for startups and small businesses.

How each product is built
EngageBay: one subscription, everything inside
EngageBay groups its product into three areas: marketing (email campaigns, sequences, landing pages, web forms), sales and CRM (contact management, deal pipeline, appointment scheduling, lead scoring) and service (live chat and help desk tickets). The All-in-One suite bundles all three under a single per-user price. The pricing page reflects the audience it names: few tiers, clear limits, nothing to assemble.

HubSpot: a platform you assemble
HubSpot starts with a free CRM and adds six Hubs on top: Marketing, Sales, Service, Content, Data and Revenue. Each Hub comes in several editions, and HubSpot now layers its AI features, branded Breeze, across them. The strength of this design is depth. A company can start for free and keep upgrading without ever switching tools. The trade-off is a bill that is harder to predict, because it depends on which Hubs you buy, which edition, how many seats and how many marketing contacts.
Feature comparison
CRM and contact management
Both tools handle the basics: contact records, interaction history and a pipeline to track deals. The free plans are where they diverge. HubSpot allows up to 1,000 contacts but only 2 users and one pipeline per object type. EngageBay allows 15 users but only 250 contacts. A team of eight salespeople with a short list will be comfortable on EngageBay’s free plan. A solo consultant with 900 contacts will be comfortable on HubSpot’s.
Marketing automation
This is the line item that moves the budget. According to HubSpot’s catalog, the free tools are limited to one automated email per form, and Starter stays with simple automation. Omni-channel marketing automation arrives with Marketing Hub Professional. On EngageBay’s pricing page, “Marketing Automation” first appears in the Growth plan, alongside A/B testing and push notifications; the Free and Basic plans include email sequences and autoresponders.
If a welcome series is all you need, the entry tiers of either vendor will do. If you want workflows that react to what contacts actually do, compare Growth with Marketing Hub Professional directly, because that is where the decision is made.
Sales tools
EngageBay includes the pipeline, appointment scheduling and lead scoring in the suite, adds proposals from Growth and custom reporting with Pro. HubSpot keeps its most advanced selling tools for Sales Hub Professional, shown at $90 per seat per month ($100 crossed out) with a $1,500 onboarding fee. For a small team working a few dozen deals, the functional gap is unlikely to decide anything. For a structured sales organization, HubSpot’s depth starts to matter.
Customer service
EngageBay builds the help desk and live chat into the same suite from the free plan up, and adds service automation with Growth. HubSpot offers tickets and live chat in its free tools, with HubSpot branding, and expands them in Service Hub with a knowledge base, routing and SLAs in the higher editions. If support is a sideline to your sales activity, EngageBay saves you a separate subscription. If support is the core of your business, Service Hub goes further.
Integrations
HubSpot advertises more than 2,000 apps in its marketplace. EngageBay advertises more than 250 integrations, including Zapier, Shopify, Stripe and QuickBooks. The headline numbers matter less than whether your own stack is covered, so check your invoicing software, your online store and your inbox before you decide. If you already run HubSpot alongside Make, our guide on how to prevent duplicate HubSpot contacts in Make shows the kind of care these connections need.
Pricing and real cost of ownership
Every figure below is the price shown on the official pages on October 9, 2026, in US dollars and before tax.
EngageBay All-in-One pricing
| Plan | Billed monthly | Billed annually | Contacts | Branded emails |
|---|---|---|---|---|
| Free | $0 | $0 | 250 | 1,000 |
| Basic | $14.99 | $13.79 | 500 | 3,000 |
| Growth | $64.99 | $59.79 | 5,000 | 25,000 |
| Pro | $119.99 | $110.39 | 10,000 | 50,000 |
EngageBay shows an 8% discount for annual billing and 15% for a two-year commitment ($12.74, $55.24 and $101.99 for Basic, Growth and Pro). Notice the gap between Basic and Growth: the price more than quadruples, and Growth is exactly where marketing automation becomes available.
The HubSpot prices that matter
- Free tools: $0, up to 2 users.
- Starter: $20 per seat per month list price. The page displayed a “starts at $7 per seat” offer, described as for new customers only and available for a limited time. Marketing Hub Starter includes 1,000 marketing contacts.
- Marketing Hub Professional: $800 per month shown ($890 crossed out), with 3 seats and 2,000 marketing contacts included, extra seats at $45 per month, plus a one-time $3,000 onboarding fee.
- Sales Hub Professional: $90 per seat per month shown ($100 crossed out), plus a $1,500 onboarding fee.
- Enterprise: Marketing Hub at $3,600 per month with a $7,000 onboarding fee; Sales Hub at $150 per seat with a $3,500 onboarding fee.
What a five-person team would pay
Take a small business with five users that needs marketing automation. This calculation uses only the list prices above and leaves out tax, add-ons and extra contacts.
- EngageBay Growth: 5 × $64.99 = $324.95 per month on monthly billing, or 5 × $59.79 = $298.95 per month on annual billing, with 5,000 contacts.
- HubSpot Marketing Hub Professional: $800 for the three included seats plus two extra seats at $45 comes to $890 per month, plus $3,000 in onboarding in the first year, with 2,000 marketing contacts.
That is a wide gap, but it does not compare like with like. HubSpot Professional brings functional depth and an ecosystem that EngageBay’s suite does not try to match. The useful question is not “which is cheaper?” but “do I need what the more expensive one adds?”

Pros and cons
EngageBay
- Pros: one subscription covers CRM, marketing and support; a simple public price list; a free plan open to 15 users; an automation tier a small team can afford.
- Cons: low contact caps on the entry plans (250, then 500); a smaller integration catalog; a steep step from Basic to Growth; a suite designed for small organizations that will feel limiting in a complex one.
HubSpot
- Pros: a very complete platform that grows with you; more than 2,000 connectable apps; a free CRM that accepts 1,000 contacts; advanced sales, service and AI capabilities.
- Cons: a free plan limited to 2 users and carrying HubSpot branding; marketing automation held back for Professional; mandatory onboarding fees on Professional and Enterprise; a total cost that is hard to estimate without a quote, since it depends on Hubs, seats and marketing contacts.
Three real-world scenarios
A four-person consulting firm
The list holds 300 contacts and the needs stop at tracking opportunities and sending a monthly newsletter. EngageBay Basic covers it for 4 × $14.99, or $59.96 per month, within its 500-contact limit. HubSpot Starter covers it too, at 4 × $20, or $80 per month at list price. At this level the choice comes down to which interface your team prefers, so use both free plans before paying for either.
An online store that wants to win customers back
Automation is the whole point here: abandoned carts, post-purchase follow-ups, segmentation. The comparison is EngageBay Growth against HubSpot Marketing Hub Professional, with the numbers worked out above. On a tight marketing budget, EngageBay is the rational choice. If the business depends on specific apps, confirm first that they connect to EngageBay; if they do not, HubSpot’s marketplace may justify the spend.
A thirty-person company growing fast
Several teams, formal sales processes, a structured support desk and demanding reporting. This is HubSpot territory: the Professional and Enterprise editions, the ecosystem and the depth of each Hub exist for this situation. EngageBay Pro can serve a simpler organization, but switching CRMs in the middle of a growth phase is expensive, so it is worth choosing the tool that will last.
Which one should you choose?
- Choose EngageBay if you are a small team, want a single tool to sell, market and support, and care more about a controlled budget than about feature depth.
- Choose HubSpot if you expect rapid growth, need many integrations or advanced capabilities, and can fund a Professional edition and its onboarding.
- Start on HubSpot’s free tools if you are one or two people with a few hundred contacts. It is the more generous plan for contacts.
- Start on EngageBay’s free plan if more than two people need access to the CRM and your list is still small.
Whichever way you lean, a few points are worth confirming with the vendor before you sign, because we could not establish them from the public pages: support hours and channels for your plan, where your data is hosted, and the cancellation terms.
EngageBay vs HubSpot FAQ
Is EngageBay really cheaper than HubSpot?
At the list prices shown on October 9, 2026, yes, as soon as you need marketing automation: $64.99 per user per month for EngageBay Growth, against $800 per month shown for HubSpot Marketing Hub Professional, before onboarding. On the entry tiers the difference is much smaller.
Is HubSpot’s free CRM enough for a small business?
It is enough to get started with one or two people: up to 1,000 contacts, 2,000 email sends per month and one pipeline. Beyond two users, or if you want HubSpot’s branding off your emails, you will need a paid edition.
Can I move from EngageBay to HubSpot later?
Yes, as with most CRMs, by exporting and importing your contacts and deals. Automation workflows, email templates and forms have to be rebuilt, though. The more you have set up, the more work a migration takes, which is a good reason to choose with the next two or three years in mind.
Is HubSpot too complex for a small team?
Not necessarily. The free CRM and Starter are straightforward. The complexity comes from how the offer is put together, with several Hubs and editions, and from the higher editions, which take time to configure well.
Which one has the better built-in customer support tools?
EngageBay includes a help desk and live chat in its suite from the free plan, which is enough for first-line support. HubSpot goes further with Service Hub, at the cost of a dedicated subscription for the advanced features.
The bottom line
EngageBay and HubSpot are not really chasing the same customer. For a small business that wants CRM, email, automation and support in one tool without stretching the budget, EngageBay is the more coherent choice. For a company that is growing quickly, leans on many connected tools or needs advanced capabilities, HubSpot earns its price.
The most reliable way to decide is still to open both free plans, import fifty real contacts and replay a week of your work in each. You will know quickly which one fits the way you sell.
